Our client in Green Bay, WI is seeking an industry experienced Contracts Administrator for their organization. The Contracting Administrator is responsible for accurately entering and auditing data to ensure clients are appropriately billed for their maintenance contracts. The Contracting Administrator will work closely with Client Managers, Accounting personnel, external leasing companies, and clients to process contract information and answer questions that may arise.

RESPONSIBILITIES

  • Provide exceptional customer service to employees, vendors and customers.
  • Create contract records by entering data, and audit entries to confirm accurate information.
  • Invoice basic and advanced equipment billing in accordance to company deadlines. Review invoices to ensure accuracy, making corrections as needed prior to distribution.
  • Troubleshoot billing issues and resolve as needed.
  • Collect equipment meter reads and enter data for billing.
  • Auto Toner Replenishment Program administrational back up by managing alerts, entering supply orders and researching customer discrepancies.
  • Monitor system generated department reports to identify and correct issues.
  • Maintain meter collection software
  • Assist internal Accounting department with funding discrepancies and end of contract billings.
  • Communicate with inter-territorial partners on billing, meters, and contract audits.
  • Maintain knowledge of inter-departmental functions for appropriate escalation of customer issues.
  • Serve as point of contact for client managers.
  • Answer questions from external leasing company regarding terms, rates, and billing cycles.

EXPERIENCE

  • Associates’ degree in Accounting or related field, preferred.
  • Previous experience in a professional administrative role.
  • Basic accounting knowledge and strong math skills.
  • Ability to analyze data and problem solve-ask questions to resolve issues and make sound decisions.
  • Excellent organizational skills, attention to detail, and time management skills.
  • Professional communications skills, both verbal and written.
  • Proficient with Microsoft Office Applications, including Word, Excel, and Outlook.
