Our client is seeking a highly detail-oriented and self-motivated Administrative and Sales Support Specialist to join their small, dynamic team in the Twin Cities. This pivotal role provides essential support across both administrative and financial functions, ensuring the smooth operation of our sales and accounting processes. They are committed to setting you up for success with comprehensive training, but they require a professional who brings a foundation in cash application, accounts payable, or sales support.

Key Responsibilities

  • Financial Administration: Accurately process cash applications, accounts receivable (A/R) postings, and assist with accounts payable (A/P) tasks to ensure timely and correct financial record-keeping.
  • Sales Enablement: Provide direct administrative and operational support to the sales team, including preparing sales reports, generating invoices, and managing documentation.
  • Data and Documentation Management: Utilize Microsoft Excel for tracking and reporting, manage documents using Adobe Acrobat (PDF), and maintain data in systems like QuickBooks.
  • Communication & Coordination: Serve as a central point of contact, handling professional written and verbal communication with clients, vendors, and internal teams.
  • General Office Support: Manage calendars, draft correspondence using Microsoft Word/Outlook, and handle other administrative duties as needed to support the overall efficiency of the office.

Qualifications & Skills

Essential Requirements

To be successful in this role, the following are required:

  • Experience: At least 2 years of professional experience in a role involving cash application, accounts payable, or sales support.
  • Software Proficiency: Demonstrated proficiency with Microsoft Excel, Word, and Outlook.
  • Education: High School Diploma or equivalent.
